Administrative Assistant

Location: Downtown Sacramento

Aedis Architects is an award-winning design firm that seeks to positively impact our community through innovative learning and living environments. We are currently seeking inspired individuals for a technical Administrative Assistant position to work in-person at our Downtown “R Street” Sacramento office.

We are looking for a highly organized and detail-oriented employee who can embrace the core principles of our firm. As a technical Administrative Assistant, you will be responsible for the support required for general office duties as well as supporting our architectural projects. The role would suit someone who has had previous experience in an administrative role and ideally have had experience working in the construction/engineering sector.

Responsibilities include but not limited to:

  • Greet and welcome visitors and manage phones
  • Organizing meetings, conference room coordination, including scheduling, sending reminders and organizing catering, etc.
  • General office management duties including support of various task, including library administration, supply procurement and set up and take down of company events.
  • General office maintenance and cleanup
  • Manage contacts, project database and construction administration flow/tracking of documents i.e. RFI’s, submittals, closeout documents, etc.
  • Produce internal and external documents by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, graphics
  • Provide historical reference by developing and utilizing filing and retrieval systems, and recording meeting discussions
  • Coordinate executives’ communications, including reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Maintain customer confidence and protect operations by keeping confidential information
  • Administrative support for managements participation in professional societies, conferences, events and support establishment of personal networks
  • Support marketing and business development efforts in producing final collateral for delivery.
  • Contribute to project team efforts by accomplishing related tasks
  • Other duties as assigned by management.

Skills and Qualifications:

  • At least 3-5 years of experience in an Administrative Assistant or Technical Administration role.
  • An ability to consistently meet multiple, and often parallel, deadlines, as well as demonstrate initiative.
  • Self-motivated, continually seeking to improve the overall running of the office.
  • Flexible and adaptable, is happy to work on a wide variety of tasks, focusing their attention on priority items.

Director of Business Development  

Location: Downtown San Jose and Downtown Sacramento and Southern California

Aedis Architects is an award-winning design firm that seeks to positively impact our community through innovative learning and living environments. We are seeking a strategic and relationship-driven Director of Business Development to help lead and coordinate the firm’s growth efforts across California. This role partners closely with firm leadership to strengthen client relationships, support strategic pursuits, improve pipeline visibility, and expand opportunities across our education, civic, and mission-driven markets. The ideal candidate brings experience in architecture, engineering, construction, or professional services business development, strong communication and organizational skills, and the ability to work collaboratively within a seller-doer environment. This position includes regular client engagement, regional travel, and coordination across our San Jose, Sacramento offices, and in strategic Southern California areas. Responsibilities include but not limited to:

  • Lead and coordinate firmwide business development initiatives aligned with Aedis Architects’ strategic growth goals across California.
  • Develop and maintain strong relationships with school districts, public agencies, community partners, consultants, and industry organizations.
  • Collaborate closely with principals, project managers, and technical staff within a seller-doer environment to identify and pursue new opportunities.
  • Track, manage, and report on business development pipeline activity, client engagement efforts, and market trends.
  • Experience with Deltek Vantagepoint preferred
  • Support pursuit strategy development, including positioning, teaming, interview preparation, and proposal coordination.
  • Identify and evaluate strategic opportunities within K–12 education, civic, higher education, and other mission-driven sectors.
  • Coordinate regional outreach and client engagement efforts across Northern and Southern California.
  • Represent the firm at industry conferences, networking events, community meetings, and professional organizations.
  • Help strengthen brand visibility and market presence through relationship-building and strategic communications.
  • Maintain a high level of responsiveness, professionalism, and follow-through with clients and partners.
  • Assist leadership with market research, competitive analysis, and long-range growth planning.
  • Foster collaboration and communication between offices, disciplines, and pursuit teams to support firmwide success.

Skills and Qualifications:

  • Bachelor’s degree in Business, Marketing, Communications, Architecture, Construction Management, or related field preferred.
  • Minimum 5 years of business development, client relations, marketing, or strategic pursuit experience within architecture, engineering, construction, or professional services industries.
  • Strong understanding of California public sector procurement processes, particularly within K–12 or civic markets, preferred.
  • Proven ability to build and maintain long-term client and consultant relationships.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and pursuits simultaneously.
  • Strategic thinker with the ability to identify opportunities and support long-term market growth initiatives.
  • Collaborative mindset with experience working effectively in a seller-doer culture.
  • Self-motivated, proactive, and capable of working independently while supporting team objectives.
  • Proficiency in CRM platforms (Deltek Vantagepoint preferred), Microsoft Office Suite, and business development tracking tools.
  • Comfortable with regional travel throughout California for client meetings, conferences, and industry events.
  • Knowledge of the architecture, engineering, and construction industry landscape and trends in California.

Architectural Project Manager

Job Summary:

The Project Manager (PM) leads day-to-day project delivery under the direction of the Senior Project Manager and Principal-in-Charge. The PM manages client communication and consultant coordination; drives scope, schedule, budget, and quality; and guides design and documentation from programming through construction administration. The ideal candidate is client-ready, organized, proactive, and skilled at leading teams, managing risk, and driving decisions to keep projects moving.

Minimum Qualifications:

  • DSA experience preferred.
  • Architectural licensure preferred; actively pursuing licensure required.
  • Experience as a PM on projects of comparable complexity/fee.
  • A professional bachelor’s or master’s degree from an accredited school of Architecture is strongly preferred.
  • 7-10 years of full-time professional experience. Experience with TK-12 and community colleges a plus.
  • Excellent organizational and communication skills, including verbal, written, and graphics.
  • Demonstrated understanding of public-sector project drivers (funding, governance, approvals, compliance, and stakeholder engagement).
  • Demonstrated ability to manage all aspects of projects, including all design phases, consultant coordination, schedule and budget.
  • Thorough knowledge of the California Building Code.
  • Thorough knowledge of construction detailing, specifications, coordination and construction documents, as well as experience in construction administration.
  • Ability to work well in a team environment and individually.
  • Strong leadership skills with the ability to delegate.
  • Thorough knowledge of Revit and other general and related (Bluebeam Revu, MS Office Suite, Adobe Suite) computer applications is required.

Responsibility:

  • Lead existing and new client relationships.
  • Attend marketing interviews.
  • Develop design concepts and presentation documents.
  • Lead code and regulatory strategy (with technical team support).
  • Responsible for project documentation management and coordination with internal team and external consultants during schematic design, design development, and construction documents (plans and specifications).
  • Develop and manage project schedules and milestones.
  • Manage project fee/budget, burn, staffing forecasts, and change management.
  • Provide guidance to assistant project managers and designers in technical issues and office standards.
  • Lead agency review and approval process.
  • Lead bid and contract process.
  • Support or lead construction administration, depending on project needs.
  • Assist with business development efforts.
  • Support contract review and risk evaluation in coordination with Principals/Operations.
  • Other duties as assigned by management.

The ideal candidate is energetic and creative, can work collaboratively and solve problems independently, is highly organized, and detail oriented.

Minimum Qualifications:

  • A professional degree is strongly preferred.
  • Minimum 5 years of full-time professional experience.
  • Thorough knowledge of Revit and other general and related (Bluebeam Revu, MS Office Suite, Adobe Suite) computer applications is required.

Responsibility:

  • Assist with developing design concepts and presentation documents.
  • Assist PM with coordination of work with the internal team.
  • Assist PM with coordination between disciplines.
  • Assist with building code analysis.
  • Prepare schematic design, design development, and construction documents (plans and specifications).
  • Ensure that the owner’s design standards are implemented.
  • Assist PM with planning and coordination with other project team members, including clients.
  • Constantly keep PM/SPM apprised of project status, development, and potential issues.
  • Provide guidance to designers in technical issues and office standards.
  • Assist with agency review and approval process.
  • Assist with bid and contract process.
  • Assist with contract administration.
  • Ensure that projects stay on schedule.
  • Assist with business development efforts.
  • Other duties as assigned by management.
